June 1999 Board Meeting Minutes

Present: Bruce Augenstein, Fred Beck, Will Farnsworth, Dennis Friedman, Carlos Giron, Dan Mull, Joe Marko, Luka Serdar Jr., John Sullivan Jr., Barry Tarr, Ann Marie Weber, Peter Weber, David Christman, Suzin Koehler, Greg Scott, Sue Rathbone, and Maria Anggraeni.

1. Call to Order (Fred Beck):

  • Fred called the meeting to order and handed out a copy of the agenda.

2. Secretary's Report (Will Farnsworth):

  • The minutes from the last meeting were handed out, and the most important items reviewed briefly. The board accepted the minutes.

3. Vice President's Report (Fred Beck):

  • Discussion of window decals - expenditure of $300-400 for a couple thousand to hand out at drivers schools and other events, standard chapter logo.
  • Introduction of Maria Anggraeni
  • We need a speaker for the 3rd quarter meeting at the Gallery - suggestions of having a new member's night and a test drive of BMW instead if no speaker can be found.

4. Treasurer's Report (Bruce Augenstein):

  • The club has a net positive gain of $1,700, so far this year.
  • Statements are out to the advertisers, calls will be made by the end of the month to follow up on those who haven't sent in their payment.
  • Ice racing proceeds net out for this year at $2,000 including the new generator that was purchased.
  • A check to the Bristol Community Center for the use of the area will be sent out by Bruce.

5. Membership Report (Barry Tarr):

  • Barry sent out 72 letters to new members to our chapter this month. Barry will figure out the renewal rate for the next meeting

6. Legal Update (Trish Farnsworth):

  • The bylaws have been cleaned up. There are some outstanding issues that are owed to the legal advisor in order to finalize them.
  • For clarification, the sitting board runs the club, not the directors.

7. BIMMER and Web Site Report (Greg Scott):

  • 11,000 - 18,000 sessions per month on the web site. Most hits are the Home page, Autocross, Your Car, Classifieds, Search, Bimmer Index and Calendar.
  • The BIMMER is currently very full! 28 pages. Would like approval to add 4 more pages, this would cost $200 - 250 for the additional pages and will NOT effect postage and there may be the necessity to add more pages for advertisers.
  • Bruce made a motion that for the rest of this calendar year (Septembet, October and November) that we move to 32 pages for the BIMMER and the cost not to exceed $1,000 for all three issues. Motion was voted on, vote was taken, motion was passed.
  • There is a news letter conference in September. Greg proposed that Suzin and Greg attend this conference, this would cost about $600 - 700. John made a motion to send Greg and Suzin to this conference. Motion was voted on, vote was taken, motion was passed.
  • Greg introduced Justin Hughs the new Senior Editor, he will take over the Classified ads
  • Suzin is performing a great job as Advertising Manager.
  • Suzin reported that there are three new advertisers - Concord Motorsport, Brentwood Motors and Car Tunes - this accounts for an additional $2,500 in revenue.
  • John Sullivan suggested that a goal should be half of the cost of the BIMMER cost should be covered by the advertisers. Currently yearly total is $40,000 or under with $14,000 - 17,000 from advertising.

8. Autocross Report (Fred Beck):

  • Fred had 87 registrants at the second Autocross. He would like to limit it to 75 and make it a pre-registration event. He currently has 40 people signed up for the next three events.

9. Driving School and Club Race Report (Luka Serdar Jr.)

  • The Safety School received great reviews from the last Drivers School. The instructors were overworked though.
  • Received a good response for volunteers at the schools.
  • The Canada event is full and there is a waiting list, there is a worry about getting enough instructors.

10. Concours Report (Dan Mull):

  • Sunday German Car day at the Museum of Transportation. Dan stated that there is a need for BMWs.
  • September 11 is the Concours for the club, September 19 is the Castle Hill Concours, BMW will be the sponsor again - same deal as last year, parking and tent.
  • Saturday September 11 is available for the Concours at the Museum of Transportation. The $150 charge has been waived due to Dan volunteering for German Car day (third Sunday in June).

11. Regalia Report (Dan Mull):

  • Regalia information will run on the back of the next BIMMER.

12. New Business (Fred Beck):

  • Bylaw discussion issues - topics for later discussion -
    1. What is succession of an officer if some one leaves?
    2. How are bylaws amended - procedures and "Majority" definition?
    3. Quorum - What is it - definition?
    4. How events run, do we want in bylaws?
  • Operation manual - Greg volunteer to work with Fred on - Justin to will interview each staff member.
  • Ofest at Mt. Tremblant - Track may not be their when the year comes around - similar to Bridgehampton, which is a big risk, many factors indicate its not a good risk.

Motion to end meeting - Motion was voted on, vote was taken, motion was passed.
